Go to Integrations

Navigate to Settings > Integrations > Gmail.

Authorize

Sign in with Google and grant read-only access.

Ask about a recent email.

Capabilities

Search your inbox

Inbox messages (excluding automated senders — notifications, mailers) are synced and searchable.
A real live Gmail search — by sender, subject text, date range, or keyword — using Gmail’s own search syntax, queried fresh rather than only searching what’s already synced.

Privacy: who can see what

Knowledge extracted from your Gmail is only visible to you, not the rest of your org — only the person who connected their Gmail can reference it in Indexbrain. This is different from most other integrations (which are org-wide), because a personal inbox is not shared company data.

What Indexbrain does not do in Gmail (yet)

  • No attachments — never fetched or parsed.
  • No write access — Indexbrain cannot send, reply, or modify labels.

How data moves

New inbox messages sync on your configured processing interval.

Troubleshooting

  • Automated senders (notifications, no-reply addresses) are excluded by design.
  • Otherwise, wait for the next scheduled sync, or trigger a manual sync.
  • Gmail connections made before July 2026 didn’t have per-person scoping. Reconnecting applies the fix — content becomes visible only to you going forward.
